The Director of Events, in coordination with the leadership team, will be responsible for managing all key aspects of the Event Management Company’s portfolio of international and domestic live, virtual and hybrid events. This exciting position will allow the successful candidate to organize all aspects of events of any type, including live, virtual and hybrid meetings, conferences, workshops, trade missions, galas, conventions, and concerts.

Our client is looking for a highly motivated individual who can demonstrate strong interpersonal, communications, and teamwork skills. They must have a strong sense of responsibility, self-motivation, and flexibility. The candidate must be extremely detail-oriented and able to manage multiple projects simultaneously.

A Director of Events must function effectively under pressure and make difficult decisions independently and in a timely manner, that would be aligned with each client’s goals and objectives for any given event.

This position works remotely unless they are needed for in-person meetings, or onsite for client events.  Additionally, a Director of Events must be available for travel domestically and internationally and work weekends and evenings, as needed and according to demands of the current event schedule.

Responsibilities of Director of Events

  • Manage all aspects of live, virtual and hybrid meeting and conference logistics and management including multiple, simultaneous breakout sessions for domestic and international events
  • Manage multiple projects and work assignments for a variety of clients
  • Develop staffing requirements and manage staff and consultants for each assigned event
  • Effectively and independently prioritize and execute tasks based on shifting priorities, demands and timelines
  • Leading regularly scheduled client communications and planning calls
  • Developing, managing, and following client timeline/project management goals and objectives
  • Creating, managing, and adhering to event budgets
  • Completing event close out materials within a month of an assigned event conclusion

Key Skills

  • Seating: For large scale events with common event management software (i.e. Social Tables)
  • Registration: Management and reporting (i.e. EventsAIR)
  • Event Management Software: Utilization event management software (i.e. EventsAIR)
  • Virtual Event Software: Manage virtual events using a suite of common software programs (i.e. Zoom, Webex and EventsAIR OnAIR)
  • Registration and Website Design: Create and manage website and registration sites using EventsAIR software suite
  • Vendor Management: Identifying, recruiting, and managing event Vendors and coordinate contract negotiations
  • Food and Beverage: Manage all aspects of event food & beverage for live events
  • Manage and provide creative influence to event hard and soft copy materials
  • Video Production: Manage video shoots and editing process with AV vendor
  • Virtual Event Design: Develop and manage all aspects of the virtual platform build out, including the lobby, speakers, agenda, exhibitors, posters, and networking

  • Travel Logistics: Lead and manage travel itineraries for domestic and international travel programs and delegations

  • Microsoft: Expertise in all aspects of Microsoft Outlook, Teams, Word, Excel, and PowerPoint

Qualifications: 

  • Impressive portfolio of previously managed events (meetings, conferences, corporate events, government, etc.)
  • Superior leadership and communications to the event planning team and client to ensure maximum performance and alignment on goals and objectives
  • Fosters and builds relationships with vendors implementing quality control standards to ensure the timeline and budget parameters are met
  • Ability to manage multiple projects and work assignments for a variety of clients, including corporate, non-profit and government
  • Flexibility to work independently with the ability to work on multiple tasks and projects concurrently
  • Ability to accomplish projects with little or no supervision
  • Excellent interpersonal skills and high professionalism

  • Experience effectively managing large scale events and budgets
  • Prior knowledge of Social Tables, CVENT, Zoom, WebEx, Teams and/or EventsAIR a plus
  • Trade show and exhibition management experience is a plus
  • Abstract Management experience is a plus

Requirements:

  • 5+ years of event planning experience.
  • Bachelor’s degree of Arts or Science
  • Past performance in producing live, virtual and hybrid events for corporate, government, non-profit or association clients.
  • Past performance producing domestic and international events.
  • Certification as a Certified Meeting Professional (CMP), Certified Government Meeting Professional, (CGMP), CSEP or other industry certification is preferred.
  • EventsAIR certification. If you are not familiar with this software suite, The Webster Group will arrange training and certification as part of the on-boarding process.
  • During new hire orientation, a schedule will be agreed upon that outlines the expectations of when certifications are expected to be received.
  • Active passport since occasional travel is required.
  • Ability to travel both domestic and international – 20% of time
  • Ability to work nights and weekends as needed
